Modifiable Community Server Email Templates
Community Server uses default templates to send email notifications to community users about ongoing activity in Community Server, such as friendship requests and approvals, new accounts, password requests and changes, and so on.
The email templates are contained in the emails.xml file which is located in [Community Server root folder] / Languages /en-US /emails.
Note: The en-US folder is a language key and depends on the language pack. For example, in French the folder will be fr-FR.
The emails.xml file uses two types of templates:
- <textbody> and <htmlbody> - Community Server uses email templates with <textbody> to users who do not receive HTML email. Users that do receive HTML email receive the <htmlbody> emails.
- <body> - Community Server uses this template type for all users.
You can modify the templates to reflect your needs. Because the email templates are part of the Community Server language pack, you can define the email templates in multiple languages.
The Community Server emails.xml file contains the following email notification templates:

| Template to be sent to the person that asked the question | Acknowledgement sent to user who posted a question in a forum. |
| Template to be sent to users that subscribed to the forum | Notification to users of the forum that a question was posted in a forum. |
| Contact Request | Request for contact made by a site user. |
| Conversation Message Sent | A user has entered into a conversation with the recipient. |
| Comment Message Received | A comment was posted to the recipient’s profile. |
| Friendship Requested | A user has requested the recipient’s friendship. |
| Friendship Approved | Request for friendship has been accepted. |
| User Invitation | Recipient is invited to join a site. |
| New Account Created (1) | Notification to new user that account request was approved. Username provided without password. |
| New Account Created (2) | Notification to new user that account request was approved. Username and password provided. |
| New account request has been queued for admin approval | Notification to new user that that admin has received account request. |
| User account has been approved | Notification to new user that admin has approved account request. |
| User account has been rejected | Notification to recipient that admin has rejected new account request. |
| Email sent when user changes password | Acknowledgement to user that password has been changed. |
| Email sent when user has forgotten his/her password (1) | Password sent to user per the user’s request because password was forgotten. New password created for user. |
| Email sent when user has forgotten his/her password (2) | Acknowledgement sent to user per user’s request for password because it was forgotten. Provides user with link to request password change. |
| Thread that the user is monitoring was modified | Notification to user that another user responded to a thread. |
| Forum that the user is monitoring was modified | Notification to user that another user has created a thread or replied to a topic in a forum. |
| Moderated post was approved | Notification to post author that a post was approved and published. |
| Moderated post was moved and approved | Notification to post owner that the post he/she moved was approved. |
| Post was moved | Notification to subscribers and user that have replied to a post that the post was moved. |
| Post was deleted | Notification to post owner that the post was deleted. |
| Moderator has posts requiring moderation | Notification to moderator that posts await moderation. |
| User to user email | Notification to recipient that another user has sent an email. |
| From admin to all users in role | Email from admin to all users assigned to a specific role. |
| Weblog – New Comment | Notification to post subscriber or owner that a comment has been published to the post. |
| Weblog – New Post | Notification to blog subscriber that a new post has been published to the blog. |
| Weblog – New Post Subscription | Notification to blog subscriber that a new post has been published to the blog. |
| Weblog – Confirm Subscription | Notification to blog subscriber confirming subscription request. |
| Weblog – New Feedback Notification to Owner(s) | Notification to post owner of feedback by user – awaiting approval for publication. |
| Weblog – New Feedback Moderation Count Notification to Owner(s) | Notification to blog owner that the threshold of posts awaiting moderation has been reached. |
| New Private Message | Notification that user has received a private message. |
| Hub – Access Request | Notification to hub owner that a user has requested access to the hub. |
| Hub – Access Request Accepted | Notification to user that request for hub access has been accepted. |
| Hub – Access Request Rejected | Notification to user that request for hub access has been rejected. |
| Hub – User Added | Notification to user that he/she has been added to a hub. |
| Forum that the user is monitoring was modified | Notification to hub subscriber that a new post has been published to the hub. |
| Media Gallery – Comment Notification | Notification to subscriber that a user has published a comment on a file in the media gallery. Includes the comment in email. |
